The problem
Selling through federal and state purchasing schedules puts a supplier under a particular kind of scrutiny. Contracting officers want to see how vendors are controlled, how complaints are handled, and whether quality is a system or a promise. This imaging and office technology supplier managed a sprawling vendor catalog across several departments, yet had no formal QMS, no structured supplier evaluation, and no corrective-action discipline to point to when problems surfaced.
What we did
- Built the QMS in 2021: manual, policy, process interaction map, and a 26-form documentation set woven into the vendor catalog and pricing templates the team already lived in
- Designed a quarterly supplier performance review delivered as simple online surveys to Sales, Data, and Accounting, giving three departmental views of every key vendor
- Stood up the CAPA program and coached the team through its first seven corrective and preventive actions across 2021 and 2022
- Maintained the system through org chart and document list updates as the business grew
- Returned in 2026 to refresh context of the organization, the process map, and vendor standards for the next certification cycle
